Every time you say in your day, I'll have to look into it later (meaning you don't think you can allocate the time to invest in your future) you have already failed. If you're overwhelmed by your day then this is FOR you. If you say well I'll have to look into it later, then this is for you. If you say, I can't afford it, I don't have time, I wish I understood then this is for you & you can't afford not to automate. Everytime you say in your day, I'll have to look into it later (meaning you don't think you can allocate the time to invest in your future) you have already failed. You may have heard the saying: "Every minute you spend on your organization adds an hour." While this is true for any business, it is especially important for running a small business. Organizing your small business is essential. It ensures that things can be done quickly, well and cheaply. Whether it’s storing documents, adhering to schedules, or just managing the overall flow of space, some strategies are more effective than others. Here are ten tips to help you overcome some of the organizational obstacles that small business owners often face. Achieving paperlessness saves time, reduces hassle and protects the environment by reducing paper consumption. Loose paper, files, and folders can cause overcrowding of desks and loss of data. Keep your office clean by scanning documents and transferring everything you can to an online storage solution. In addition, files stored in the cloud are more difficult to lose and easier to organize. Do I need to scan a lot? Don't be afraid, there are many services that can help scan a large number of documents, including bustl. Your computer, iPad, or iPhone may also need to be cleaned up. Just because you have everything installed on your computer, it does not mean that your organizational problems have been resolved. Are you browsing dozens of open tabs? Does your desktop screen look like a collage of mysterious symbols? Are your digital spaces filled of endless folders leaving no room for smart data. This is not only inefficient, but also completely unnecessary. Therefore, every few days, check your computer, iPhone and delete any icons, tabs, or windows that you don’t use. Clean up your physical environment After you have cleaned up the clutter on your desk and organized your computer, please check your physical environment. Are you overwhelmed by the file box? If so, it may be time to invest in external storage solutions. Remote storage of files and documents can free up your work space, ensure data security and reduce the risk of important documents being damaged or destroyed. Once your workspace has no crates, you can now focus on adding your own personal style. Research shows that adding things like plants and art can increase productivity. When you add calm elements and put everything in the right place, you can create a quiet working environment and reduce the space for lost items. A clean workplace is also essential for making a good impression. Colleagues and potential customers will love a clean environment, which shows that your business is running in an organized way. Early Tax Planning or automation Tax season is like a boomerang; it will come back every time you get rid of it. Most small business owners don't want to spend a lot of time thinking about upcoming taxes, but letting your tax preparation work can avoid exams, fines, or in some extreme cases, shut down. When paying overdue fines is more painful than usual, don't let the IRS find you in a bad month. Instead, plan ahead to reduce the painful process. If you want to do this work yourself, there are many services or apps that can help you pay taxes. Plan your time carefully It is important to plan for major events such as taxes, but it is also important to plan how you spend your time each day. Track the time it takes you or your team to complete certain tasks. Once you have calculated how long different tasks will take, you can set realistic goals for a day, a week, or a month. Time management does not refer to how much extra time you can use to work overtime. It's about how to effectively use the time you have. Schedule a full day’s rest to ensure that you avoid burnout and do your best. Ensure that all team members are on the same page. If you are not working alone, then your small business is a team. As a team, you cannot work without cooperation. Communication between employees is essential to avoid costly mistakes. Using collaboration platforms, such as Google Workspace, the entire staff can be consistent on the same page. This will greatly help ensure that the accident does not affect productivity. Set high standards Unorganized means lack of structure. Establish standard operating procedures for your small business to eliminate guesswork and maintain consistency. However, be careful not to fall into the trap of establishing uncontrolled operations. Instead, when opportunities arise, make sure to improve or optimize these processes on a regular basis. Remember, the goal is not to make rules, Instead, your goal is to increase efficacy to a practicable level. Read emails, reply to emails. One of the biggest enemies of organizations is procrastination. Therefore, get yourself used to doing things right away. Start replying immediately after reading the email. A great rule is if It takes 2-3 minutes to do any task do it right away. If it requires planning & strategy schedule a time to do it later. Email tends to pile up. What will happen to the accumulation? Something is missing. Keeping your inbox tidy will have a knock-on effect and help improve the overall organization. Give up being a part-time accountant. Does your small business have an accountant? This is awesome! This is not for you. Suppose you are one of many small business owners who cannot afford the luxury of handing over your accounting duties. If so, you may spend hours sorting out the bank statement and submitting the invoice. This need not be the case. There are many cloud-based accounting platforms that can do all the busy work for you. You track personal and online transactions, issue invoices, collect payments many of these can be automated. Many of any daily's task can be optimized or automated. Soon, you'll be able to add your state ID or driver's license to Apple Wallet, bringing you one step closer to ditching your physical wallet. Right now, this feature is not available, but soon it will be in Arizona and Georgia, followed by Connecticut, Iowa, Kentucky, Maryland, Oklahoma, and Utah. Let's learn how to add your state ID or driver's license to your Apple Wallet. When Can You Add Driver's License to Apple Wallet Driver's licenses and state IDs for Apple Wallet were first announced at the 2021 WWDC and detailed in an Apple press release. As of this writing, no date has been set for the program's launch, but with eight states already signed onto the project, Apple hopes to offer this feature nationwide in the future. The Transportation Security Administration (TSA) is onboard to start accepting mobile driver's licenses and state IDs in Apple Wallet at participating airports, and Apple says, "Participating states and the TSA will share more information at a later date about when support for mobile driver’s licenses and state IDs in Wallet will be available in each state, and which TSA airport security checkpoints and select lanes it will be available at first." How to Add Driver's License to Apple Wallet Once this feature is available in your state, you'll be able to add your driver's license or state ID to Apple Wallet the same as you would add a new credit or debit card. You'll be able to select Driver's License or State ID from the list of available cards once the feature is rolled out. Automating reports, spreadsheets, documents, any files that gets updated based on an event should become your top automation priority. Even notes, like a sales call with a prospect scheduled from an online questionnaire. Automation can be set to open the prospect notes, they populated at the time they completed your contact form when it's time for your call. If your are a data fanatic like me, automate your spreadsheets with whatever you love to track & monitor everyday. You can manage, trigger, and execute all these on iPhone & iPad & Mac. Assign inbound leads to a sales representative Some people will always skip the “contact us” form and go straight for the phone. A phone chat is a great way to start building a relationship with a potential client, but without a process in place for pursuing leads, opportunities can be missed once you hang up. Too often, phone call follow-ups are filled with good intention and poor execution. With automation software, you can set up an internal form to be used when people call your main line. Enter the client’s contact information, along with any relevant notes, before using a drop-down menu to assign a sales representative to follow up. The form alerts the sales rep to contact the new lead. Meanwhile, the software sends an automated introduction email from that sales rep to the potential customer. When the introduction email is sent 5 minutes after the form is completed, it appears that the sales rep sprung into action after learning of the potential client’s call. Your lead will be impressed by your customer service before the sales rep even starts working. You can log a call, save it to reminders, push to hubspot-sales force-pipedrive, set a calendar event all at once from just hanging up. Always win at phone tag It’s easy to lose a game of phone tag when you’re busy running a small business. Say you leave a voicemail for a potential client, and he returns your call when you’re in a meeting. You make a note—in your mind, maybe on a Post-It note—to call him back when you return to your desk. But alas, voicemail again. If the game continues, all while you’re chasing other players, you might eventually give up—either intentionally or because you were too busy to remember the call. That means you had a lead, and you lost it. Keep score by establishing an automated process for returning phone calls. Using automation software, you can note in the system that you left a message for a contact. Doing so triggers an automatic email to him: “I just left you a voicemail. Sorry I missed you! If I don’t hear from you, I’ll follow up tomorrow.” The software then reminds you to make the call tomorrow, as promised, no Post-Its required. And no lost leads, either. Follow up with new networking connections At a conference or other events, networking efforts can pay off in the form of a big stack of business cards. But merely collecting business cards isn’t the goal, of course. Start communicating with your new contacts immediately—before you both forget about the conversation you had (or before the business card falls victim to a tragic laundry error). Transfer contact information from the business card to your CRM tool, tagging each person as a conference or event contact. Then use automation software to schedule an email to be sent, whether you want to follow up an hour later or the next day. Writing even a brief “nice to meet you” email to each new contact can drain your time. Streamline the process by writing an email template (or even better yet, construct a text message template & after every new contact - send text automation) that feels personal but could apply to any new contact from the event: It was great chatting with you at the conference this week. Automation software organizes the existing process that sales reps follow to close a deal. When the process is clearly defined, sales reps can move leads from one stage to another, ensuring consistency and providing visibility into where each lead needs to head next. Define the sales process by four basic stages: A lead has been identified. When a lead is tagged as a new opportunity, the software assigns a sales rep to contact him. The lead moves into this stage when a sales rep calls him. If the sales rep reaches him, the lead advances to the next stage. If the call goes to voicemail, an automated email is sent as a follow-up (see item No. "Always win at phone tag”). The sales rep is talking with the lead to learn about his needs and how your product or services can benefit him. The lead moves into this stage when the sales rep determines that he’s qualified, meaning that he has the budget and authority to make the purchasing decision. The rest of the sales process plays out from here, with different automated actions set up for wins and losses, as well as leads who aren’t yet ready to make a decision. These algorithms can be set on mobile device so you can be aware of your clients journey at all times. Focus on your hottest leads Having more leads than time to contact them is a problem—a good one, of course, but one that needs a solution nonetheless. If you never seem to catch up with your to-do list, where do you even begin? Automation software sets your priorities by ranking each lead based on his or her engagement with your marketing efforts.
